Pre-Shipment Inspection (PSI)

Protect your business with a thorough final inspection before goods leave the factory. Our PSI service ensures every shipment meets your quality standards.

What is Pre-Shipment Inspection?

Pre-Shipment Inspection (PSI), also known as Final Random Inspection (FRI), is the most widely used quality control procedure in international trade. It is conducted when production is 80% to 100% complete, providing a comprehensive assessment of finished goods before they are packed and shipped to the buyer. The primary objective is to verify that the products conform to the buyer's specifications, applicable standards, and contractual requirements.

At Helmsman Quality Testing Services, our trained inspectors visit the factory floor to draw random samples according to internationally recognized statistical sampling methods. Each unit is carefully evaluated against your approved specifications, reference samples, and applicable regulatory requirements. This final checkpoint serves as your last line of defense against quality failures, costly returns, and customer dissatisfaction.

Why Pre-Shipment Inspection Matters

Shipping defective or non-conforming products can result in significant financial losses, damage to your brand reputation, and strained supplier relationships. A professional PSI helps you make informed ship-or-hold decisions based on objective, on-the-ground data rather than relying solely on supplier assurances. By identifying issues before goods leave the factory, you avoid the far greater costs of dealing with quality problems at the destination, including customs rejections, rework expenses, product recalls, and lost sales.

Pre-Shipment Inspection is particularly critical for buyers sourcing from overseas manufacturers where direct oversight of production is not feasible. It bridges the gap between your quality expectations and the supplier's output, providing transparency and accountability at the most crucial stage of the supply chain.

What Gets Inspected

Our Pre-Shipment Inspection covers every aspect of your finished products to ensure complete compliance. The inspection scope includes, but is not limited to:

  • Workmanship and visual appearance -- surface finish, color consistency, assembly quality, and cosmetic defects
  • Functional testing -- operational performance, mechanical functions, electrical safety, and product-specific tests
  • Dimensional verification -- measurements against technical drawings and specifications using calibrated instruments
  • Safety and regulatory compliance -- labeling requirements, warning marks, material safety, and applicable standards (CE, ASTM, EN, etc.)
  • Labeling and marking -- product labels, care instructions, barcodes, country of origin, and branding accuracy
  • Packing and packaging -- inner packing, carton quality, shipping marks, assortment, and drop test performance
  • Quantity verification -- piece count, carton count, and comparison against purchase order quantities
  • Weight and volume checks -- gross and net weight per carton, container loading calculations

AQL Sampling Methodology

Our inspections follow the internationally recognized AQL (Acceptable Quality Limit) sampling procedure based on ISO 2859-1 / ANSI/ASQ Z1.4. This statistical method ensures that a representative sample is drawn from the production lot, and the results can be reliably extrapolated to the entire batch. The standard AQL levels used are 0 for critical defects, 1.0 for major defects, and 2.5 for minor defects, though these can be customized to match your specific quality requirements.

The sample size is determined by the total lot size and the chosen inspection level (typically General Inspection Level II). Our inspectors use standardized checklists tailored to your product category, ensuring consistent and thorough evaluations across every inspection engagement.

When to Schedule a PSI

The ideal time to conduct a Pre-Shipment Inspection is when production has reached 80% to 100% completion and the goods are packed or ready for packing. At this stage, there are enough finished units available to draw a statistically valid sample, while there is still time to address any issues found before the shipping deadline. We recommend booking your inspection at least 48 hours in advance to ensure inspector availability and allow the factory adequate preparation time.

Industries We Serve

Our Pre-Shipment Inspection services cover a wide range of product categories and industries, including textiles and apparel, electronics and electrical products, consumer goods, toys, furniture, building materials, automotive parts, machinery and equipment, food packaging, and promotional items. Regardless of your industry, our inspectors bring the relevant product knowledge and technical expertise to deliver meaningful, actionable results.
